Essential Duties and Responsibilities: General Office Management:<ul><li>Open and close the office (9 AM - 5 PM)</li><li>Answer phones, route calls to GM, Sales, Production, and Marketing teams</li><li>Maintain office equipment and supplies, ensuring regular stock</li><li>Organize office filing system and maintain a clean workspace</li><li>Process and distribute daily mail promptly</li><li>Stay current with new information from the franchisor's Learning Center</li><li>Manage IT-related duties or issues as they arise</li><li>Coordinate staff travel arrangements as needed</li><li>Participate in weekly staff meetings and provide reports</li></ul>Sales Support:<ul><li>Process incoming leads and enter details into JobTread software</li><li>Assemble prospect and new client packets</li><li>Assist the sales team as needed</li></ul>Production Duties:<ul><li>Track and manage warranty calls</li><li>Coordinate trade partners' information in JobTread software</li><li>Provide status updates to GM and Sales on design retainers and proposals</li><li>Manage returned or leftover materials from job sites</li><li>Oversee production vehicle registration renewals</li><li>Attend training meetings</li><li>Follow the DreamMaker Code of Values</li></ul>Purchasing Duties:<ul><li>Order materials using the Purchase Order system in JobTread</li><li>Inspect material deliveries for quality and accuracy</li><li>Review purchase orders for accuracy before ordering</li><li>Attend training meetings</li></ul>Accounting/HR Duties:<ul><li>Bank Deposits &amp; Financial Tracking: Make bank deposits and input A/P and A/R data into JobTread and QuickBooks</li><li>Payroll Management: Prepare and manage payroll in ADP using JobTread/QuickBooks</li><li>Time Tracking: Track daily time cards in JobTread for production commissions</li><li>Job Costing &amp; Reports: Print job costing reports and prepare weekly financial reports</li><li>Budgeting &amp; Forecasting: Prepare company budgets, business plans, and forecasts</li><li>Purchase Orders &amp; Taxes: Prepare purchase orders and assist with monthly/quarterly tax submissions</li><li>Accounts Receivable: Review and collect accounts receivable promptly</li><li>Human Resources:</li><li class="ql-indent-1">Maintain and update company insurance policies</li><li class="ql-indent-1">Prepare new hire and termination paperwork</li><li class="ql-indent-1">Manage employee benefits and worker compensation paperwork</li><li class="ql-indent-1">Coordinate background checks and performance reviews</li><li>Attend training meetings</li></ul>Marketing Duties:<ul><li>Budget Management: Prepare and manage the marketing/promotion budget in coordination with the GM</li><li>Client Surveys &amp; Campaigns: Send GuildQuality survey information to clients and coordinate email campaigns</li><li>Advertising &amp; Networking:</li><li class="ql-indent-1">Coordinate vehicle wraps and digital/print ads with Webrunner</li><li class="ql-indent-1">Coordinate local networking events such as home shows, open houses, etc.</li><li>Work with Webrunner to customize the local website and send monthly e-newsletters</li><li>Attend training meetings</li></ul>Education and Experience:<ul><li>Associate or Bachelor's degree in Accounting, Business, or related field</li><li>Minimum of 5 years of work experience, with at least 2 years in office management or accounting</li><li>Experience in the construction industry is a plus</li><li>Proficiency in QuickBooks accounting software and MS Office applications</li><li>Experience with JobTread or similar construction software is preferred</li><li>Strong understanding of construction basics</li></ul>Other Qualifications:<ul><li>Excellent customer relations skills</li><li>Ability to work effectively in a team environment</li><li>Strong verbal and written communication skills</li><li>Time management and prioritization abilities</li><li>Self-starter with goal-setting abilities</li><li>Attention to detail and problem-solving skills</li></ul>Who You Will Report To:<ul><li>General Manager</li></ul>This position requires collaboration with all departments to achieve the company's brand goals, mission, and vision while adhering to our Code of Values. You will play a crucial role in ensuring the achievement of sales and profitability objectives each year.
